Documents: Organize and manage your source files

The Documents tab gives you an overview of the source documents available in your TWILL workspace and helps you organize them into folders. 
You can browse documents, search and sort them, create folders and subfolders, move documents between folders, manage access permissions, apply bulk changes and open or delete individual files.

Open Documents

Select Documents from the main navigation on the left.

The page is divided into two areas:

  • the folder panel on the left
  • the document list on the right

The folder panel helps you organize documents into logical groups, while the main area shows the documents contained in the selected folder.​

      Browse all documents

      Select All to see every document available to you in the current workspace. The number next to All shows how many documents are currently available.

      The document list includes:

      • document name
      • creation date
      • actions for opening or managing the document

      Use Search by name above the list to find a specific document quickly.​ 

      You can also sort the uploaded documents by name or creation date using the available sorting options.

        Work with folders

        Folders help you organize source documents by topic, committee, project, department or another structure that makes sense for your organization. 

        The number beside each folder shows how many documents it contains. 

        Select a folder to display only the documents assigned to it.

        Unassigned documents

        The Unassigned section contains documents that have not yet been placed in a specific folder. You can use it as a temporary location before organizing documents into the appropriate folder.

        Create a new folder

        Select + New folder at the top of the folder panel to create a new folder. Depending on where you start the action, you can create either a new top-level folder or a subfolder within an existing folder.

        For example, you might create folders for:

        • a board or committee
        • audit materials
        • compliance
        • a strategic project
        • a specific reporting area

        Once created, the folder appears in the folder panel.

          Manage a folder

          When you select a folder, additional folder-management options appear above the document list. 
          Depending on your permissions, you can:
          • Rename a folder
          • manage Access
          • Delete folder
          • change its Parent folder

          This allows you to build a folder structure that reflects how your organization works.​

            Apply bulk changes

            You can select multiple documents and apply changes to them at the same time.
            Bulk actions can be used for document organization and also for modifying access permissions, so you do not need to update each document individually.

            Open a document

            Each document row includes an open icon on the right. Select it to open the source document. You can also select the document row to open a panel on the right side of the screen, where you can review detailed information about the document without leaving the document list.

            Use the three-dot menu at the right side of each document row to access additional actions for that file.

            The menu includes:

            • Open in new tab – opens the document in a separate browser tab
            • Copy link – copies a direct link to the document
            • Move to a folder – moves the document to another folder
            • Remove from this folder – removes the document from the current folder without deleting the document itself
            • Delete document – permanently deletes the document
